SCHEDULER HOME CARE

Job Description Summary

Under direction from the Manager of Administrative Operations - performs scheduling duties in support of the Clinical departments.

Job Description

Duties:

1 - Demonstrates accountability and accuracy for all tasks.

a) Consistently arrives to workstation on time.

b) Maintains a high level of precision, legibility, and thoroughness in all responsibilities.

c) Accurately completes tasks per detailed job instruction in a timely manner.

d) Maintains awareness of clinical teams including days off, vacation schedules, etc.

e) Locates staff in the field through appropriate use of telecommunication methods.

2 - Responsible for assisting with clinician scheduling and inputting scheduling changes.

a) Schedules patient visits to clinicians in accordance with productivity standards.

b) Books initial as well as recurring visit schedules.

c) Edits appointments and reassign visits as requested by manager/clinician.

d) Utilizes tracking lists, visit reports, and In-basket messages with appropriate follow up.

e) Collaborates with managers and staff in scheduling practices.

3 - Follows principals of Customer Service when responding to phone calls.

a) Answers phone within 3-4 rings, putting callers on hold if necessary, per Support Staff Telephone Standards.

b) Takes complete messages gathering all pertinent information.

c) Holds ownership of each call, treats callers with respect, and follows up on issues identified.

d) Follows procedure for transferring calls internally.

4 - Performs clerical activities as directed.

a) Demonstrates ability to prioritize responsibilities and multi-task.

b) Exemplifies excellent time management skills.

c) Runs reports as directed by manager.

d) Participates in continued learning and possesses a willingness to adapt to new technology.

5 - Maintains good rapport with colleagues throughout the Home Care Division to ensure cooperative working relationships.

a) Ability to work under pressure in a fast paced environment.

b) Collaborates with staff by sharing information.

c) Exhibits flexibility in adjustments to workflows and procedures.

d) Communicates positively and effectively with clinicians and managers.

e) Acclimates to changes in the work environment and assists with additional duties as necessary.

f) Assists co-workers when time allows.

6 - Able to transcribe documentation into electronic record from paper with accurate attention to details.

a) Exhibits efficient communication and documentation skills.

b) Follows standard protocol for established work practices.

Minimum Work Experience:

Excellent multitasking and organizational skills – essential.

Competency in word processing and spreadsheet software – preferred.

1 year of office or customer service experience – preferred.

Experience with data entry – preferred.

Health Care experience – preferred.
