Executive Director, Supply Chain

Job Description Summary

Reporting to the Vice President of Facilities and Site Services, this key leadership position is responsible for developing a strategic approach for materials management and supply chain operations. Provides leadership and participates in departmental and organizational policy development, as it relates to supply chain logistical operations. Leads the design and implementation of supply chain inventory management and replenishment models to optimize labor and inventories. This individual will apply proven communication, analytical, and problem-solving skills to help maximize the benefit of technology and business processes within the Supply Chain Department.

Job Description

Essential Functions:

  • Responsible for the overall supply chain, procurement, acquisition and distribution of materials, equipment and services.   Oversees department operations employing the latest advances in supply chain management techniques and processes. 
  • Maintains inventory in a cost effective and timely manner for the hospital’s central supply area, as well as the operating room services.
  • Researches purchasing options, monitors inventory, negotiates pricing, orders supplies, supervises staff responsible for receiving and disbursement of shipments and deliveries, and directs and recommends purchases.
  • Measures customer satisfaction, connects frequently with end users, identifies gaps in service delivery and makes adjustments as needed.
  • Provides oversight and manages key logistical supplier relationships, e.g., acute and non-acute supply distributor, DME supplier, courier services, freight management, UPS/FedEx, etc.
  • Identifies supply needs and conducts related research. Solicits bids, identifies potential cost savings, and issues purchase orders.
  • Optimizes the use of Workday and associated technologies to streamline supply chain performance, optimize revenue, and increase associated internal users’ satisfaction.
  • Maintains the integrity of supply chain information system, to ensure adequate supply levels are available at all hospital and ambulatory sites.
  • Ensures accurate charging of materials and supplies. Verifies invoices, purchase orders, packing slips, etc., and processes returns to vendors as required. Manages purchase orders, enters receiving reports/invoices, completes follow-up on open purchase orders and vendor discrepancies.
  • Develops the annual department operational and capital budgets, and manages operations to meet/exceed approved budgets.
  • Maintains inventory control; ensures accuracy of data in purchasing computer system and maintains stock records; rotates supplies; checks for outdates, maintains appropriate par levels; establishes reorder points for all supplies.
  • Serves as a liaison across disciplines. Participates as an active member of various committees, leads work groups, projects and committees as assigned.
  • Establishes and oversees Mail Room activities and the supply chain delivery vehicle.
  • Sets annual departmental goals in concert with organizational goals and manages to the plan, making adjustments as required to ensure success at all levels.
  • Serves as a resource to senior leadership and physicians in matters related to purchasing procedures, expense reduction initiatives. Chairs the Value Analysis Committee assuring that product changes are thoroughly vetted and communicated and contract negotiations.
  • Actively supports a positive workplace culture. Monitors the work performance of staff and provides timely feedback and performance management. Ensures that policies and procedures are administered consistently and equitably.

Qualifications:

Minimum Education - Preferred

Bachelor’s degree in Finance or Business with Purchasing/Operations Management focus required.  Master’s degree a plus.

Minimum Work Experience

7-10 years progressive experience in Purchasing & Sourcing with extensive experience in the healthcare industry.

NAPM (A.P.P. C.P.M.) or APICS (CPIM, CIRM) certification preferred

Required additional Knowledge, and Abilities

•Strong computer skills, ideally with experience using Windows-based PC programs. Experience with Workday a plus.
