Central Scheduling Specialist

Job Description Summary

The Central Scheduling Specialist is responsible for creating, maintaining and ensuring adherence to schedules for a variety of hospital based departments. They coordinate and communicate with all stakeholders, manage changes to the schedule and ensure that scheduling rules are adhered to. They often work in close collaboration with department managers. They are responsible for scheduling, registering, insurance verification, case creation and the transcription of orders for complex outpatient hospital based appointments and procedures, including but not limited to Cath Lab, Ambulatory Care, CT Scans, Ultrasound, Mammography, Cardiovascular, Pulmonary, Neurology, Nuclear Medicine, Employee Health, and Research Studies.

Job Description

Essential Functions

1.  Provide exceptional customer service to patients and referring providers  

2. Collaborate with internal departments to ensure fulfillment of physician’s ordering priority

3. Acts as a liaison between patients and office staff to ensure the appropriate scheduling

4. Ensures demographic and patient contact information is complete and verified with the patient or patient representative

5. Verifies the guarantor type and information and ensures it is assigned to the account correctly

6. Ensures all possible coverages are created and verified, through electronic or manual methods, and all discrepancies are resolved using RTE and Passport OneSource

7. Adheres to patient identification policy and procedures to create new medical records when appropriate

8. Maintains inbound and outbound call volume using Cisco Finesse phone system.

9. Supports patients by providing information related to tests and procedures.

10. Uses system activities and functions to identify non covered services and advance notice beneficiary (ABN) 

11. Utilize interpreter services when applicable and schedule interpreter for in-person appointments

12. Provide Good Faith Estimates for underinsured or uninsured patients

13. Identify and collect copayments for outpatient radiological procedures

14. Collaborate with Financial Clearance Specialist to appropriately schedule appointments allowing adequate time for obtaining prior authorization. 

15. Works independently to complete daily assignments by the end of the shift and long term assignments by established deadline and will inform supervisor when unable to meet deadline for guidance

16. Ability to successfully navigate computer software systems to adhere to department standards; including EPIC, Workday, API (timecard), Medicare/Medicaid systems and Passport/OneSource verification tool.

17. Ability to upload and transcribe orders utilizing Faxcom programming to our EMR.

18. Ability to identify and transcribe ICD-10 diagnosis and procedure CPT codes

19. Participates in continued learning and possess a willingness and ability to learn and utilize new technology and procedures that continue to develop in their role and throughout the organization

20. Embraces technological advances that allow us to communicate information effectively and efficiently based on role and complies with all regulatory agencies 

JOB REQUIREMENTS

Minimum Education - Preferred
High school diploma, two (2) years of college preferred.
Minimum Work Experience
Minimum one (1) year Patient Access experience preferred
